Privacy Policy
Last updated 1 August 2026 · Draft for review
This policy explains how we collect and use personal data when you use whichCRM. whichCRM is a service provided by zedConsulting, the trading name of ZED GROUP LTD, an independent UK CRM consulting firm and the data controller for the purposes of UK data protection law.
1. Who we are
ZED GROUP LTD, trading as zedConsulting, of 20-22 Wenlock Road, London N1 7GU. We are registered with the Information Commissioner's Office. If you have any question about this policy, contact us at contact@zedconsulting.co.uk.
2. What we collect
- Enquiry details you give us through the contact form: your name, company, email address and the description of your situation.
- Booking details if you reserve a call through the Calendly scheduling widget embedded on our Contact page: your name, email address, the time slot chosen, your time zone and anything you add to the booking notes.
- Correspondence when you email or telephone us.
- Approximate location derived from your IP address by a third-party lookup, used only to preselect the correct dialling code on our contact form. We do not store it.
- Technical and usage data such as IP address, browser type, pages viewed and referring site, collected through cookies and similar technologies.
- Preferences stored locally in your browser, such as your light or dark theme choice. This stays on your device and is not sent to us.
3. Why we use it, and our lawful basis
We do not use your data for automated decision-making or profiling, and we do not sell personal data.
4. Cookies and affiliate links
We use essential cookies to make the site work and, with your consent, analytics cookies to understand how it is used. A small preference cookie also remembers your light or dark theme choice. Cookies set by the embedded booking widget are listed in the next section.
Some links to CRM vendors on this site are affiliate links. If you follow one, the vendor or their affiliate network may set a cookie on your device to attribute a later sign-up to us, and we may receive a fee. That process is operated by the vendor or network under their own privacy policy, and we receive only aggregate reporting, not your personal details. Affiliate status plays no part in which platforms we cover or how they are rated.
5. Third-party services on this site
Some features are provided by third parties who process data on our behalf or, in the case of scheduling, as a controller in their own right. Each operates under its own privacy policy.
You can block third-party cookies in your browser settings. Doing so may stop the booking widget from working, though the contact form will continue to function normally.
6. Who we share it with
- Service providers acting as our processors, including hosting, email, calendar booking (Calendly), CRM and analytics providers, each bound by contract to protect your data.
- Professional advisers such as accountants and legal advisers, where necessary.
- Authorities and regulators where we are required to do so by law.
We never pass your enquiry to a CRM vendor without your explicit instruction. Where a provider processes data outside the UK, we rely on UK adequacy regulations or International Data Transfer Agreements as required by the UK GDPR.
7. How long we keep it
Enquiry data is normally kept for up to 24 months after our last contact. Client records are kept for the duration of the engagement and for the period afterwards required by law and our insurers. When data is no longer needed we securely delete or anonymise it.
8. How we protect it
We apply appropriate technical and organisational measures, including access controls, encryption in transit and restricting access to those who need it. No transmission over the internet is completely secure, but we take reasonable steps to safeguard your information.
9. Your rights
Under the UK GDPR and the Data Protection Act 2018 you have the right to be informed, and rights of access, rectification, erasure, restriction, data portability and objection, including objection to direct marketing.
To exercise any of these, email contact@zedconsulting.co.uk. We will respond within one month, and there is normally no charge.
10. Complaints
Please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
11. Changes to this policy
We may update this policy to reflect changes in our practices or the law. Updates are posted here with a revised date.
12. Contact us
This is a first draft prepared for internal review. It should be checked against your current processors, cookie set-up, affiliate networks and ICO registration before publication, and is not legal advice.
